What happens to existing items when you enable Team Workspaces?
When Team Workspaces are enabled for the first time, Goldcast creates a Default Team Workspace 1. Organization admins can rename this default team workspace as needed. Depending on your pricing plan, you can create additional teams:
- Premium plans: Maximum of 2 teams, including the default team
- Enterprise plans: No maximum limits
Any Event Templates and Pages you have previously created will remain at the organizational level and will be accessible to all team workspaces. However, organization admins can move them inside any team if necessary.
All Events (Webinars, Conferences, In-Person), Series, and Repeating Events that you have previously created will be automatically assigned to the Default Team Workspace 1. Organization admins can move these assets to other team workspaces as needed.
Any team-level user with the roles Event Admin or Event Editor will be assigned to Default Team Workspace 1. Organization admins can move these users to another team or give them access to multiple teams as needed.
Note: Any new webinars, events, series, repeating events, pages, and templates you create after enabling team workspaces must be assigned to a team during creation.
How to move items from one team workspace to another
Let's take a look at how to move the following entities from one team workspace to another:
Users
Follow these steps to change an existing user's role or to grant them access to multiple teams:
- Click Settings on the left menu.
- Click Users on the left sidebar.
- Click the edit icon next to the user you want to edit from the list.
- Click Platform in the Seat Type dropdown.
- In the Role dropdown, select a Role and click the checkmark.
- Click the Edit Team Workspaces button and select the team(s) you want to add this user to.
- Click Save.
- Close the window.
Events and Webinars
For Events
To move an existing event into another team workspace:
- Click on the event from your Event List.
- Click Edit Event in the top right corner.
- In the Team Workspace dropdown at the top, select the team you want to move this event into.
- Click Save.
For Webinars
To move an existing webinar into another team workspace:
- Use the Events list to open your preferred webinar.
- Click Edit Event in the top right corner.
- In the Team Workspace dropdown at the top, select the team you want to move this event into.
- Click Save.
Series and Repeating Events
For Series
- Log into Goldcast and click the Series tab to open your preferred event series.
- Once on the Series dashboard, click the Edit Series button on the top-right.
- Use the Team Workspace dropdown to select your preferred team.
- Click Save.
For Repeating Events
- Log into Goldcast and use the Events tab to open your repeating event.
- Click the Blueprint tag to open the blueprint of your repeating event series.
- Once on the Blueprint dashboard, click the Edit button on the top-right.
- Use the Team Workspace dropdown to select your preferred team.
- Click Save.
Event Templates
Any Event Templates you have previously created will remain at the Organization level. When you create an event, you will notice that these templates have an All Teams tag in the Select a Template list.
If you move an existing template into one specific team workspace, only that workspace members can use it to create events. The template will only be visible in the event creation menu for users accessing that team workspace.
To move a template into a specific team workspace:
- Log into Goldcast Studio.
- Click Templates on the left side menu.
- Click on the template you want to move from the list.
- Click Edit in the top right corner.
- Under "Who can use this template?" select "Only users in this team workspace."
- Select the team workspace from the dropdown menu.
- Click Save.
Pages
Any Pages you have previously created will remain at the Organization level.
A team workspace's page can only list events from that specific workspace. If you want to move existing pages into a particular team workspace, please ensure that all the events listed on that page are already part of that workspace. Otherwise, events will disappear from the page.
To move a page into a specific team workspace:
- Log into Goldcast Studio.
- Click Pages on the left side menu and open your preferred page.
- Click the Page Settings button in the top right corner.
- Under "What events will be displayed on this page?" select "Events from this Team Workspace."
- Select the team workspace from the dropdown menu.
- Click Save.
